We're seeking a detail-oriented, proactive Administrative Assistant to join our Specialty Care North America (SPC NA) Strategy and Operations team in support of operational programs, leadership meetings, and key initiatives across Specialty Care.
The Strategy and Operations Office is growing to support key strategic initiatives and operational excellence. This role will work closely with the Head of Strategy & Operations and the Portfolio Operations Manager, serving as a key connector across internal teams, external vendors, and stakeholders. This role is essential to ensuring seamless execution of strategic programs and enabling the Strategy & Operations team to focus on high-impact work.
Main Responsibilities:
Event & Meeting Logistics
Coordinate travel bookings and process expense reports, including flights, hotels, and ground transportation
Coordinate speaker logistics for programs and events, including travel arrangements and day-to-day communication
Assist with logistics for internal meetings and events, including registration, rooming lists, catering, AV setup, calendar management, transportation, and space planning
Support virtual event coordination as needed, including platform setup, attendee communications, and day-of logistics
Coordinate post-event shipment and materials management, including packing, tracking, and reconciliation of event materials and supplies
Administrative & Operational Support
Assist with processing NDAs, Purchase Orders (POs), and invoices in Coupa
Support the administrative elements of NALT and ComOps biweekly meetings, including coordinating meeting times, collecting and organizing content, and distributing agendas and pre-reads
Capture meeting notes, distribute action items, and coordinate follow-up across teams for internal Strategy & Operations meetings and workstream calls
Collect, organize, and maintain program assets (scripts, bios, decks, visuals) and deliverable trackers
Support JD and org chart formatting, updating, and version maintenance
Coordinate calendars and internal communications for the team
Prepare and distribute meeting materials and summary documents
Maintain organized file repositories and ensure version control
Project & Coordination Support
Track project timelines, deliverables, and status updates across multiple initiatives in collaboration with the Portfolio Operations Manager
Coordinate slide deck development with vendors or internal teams for leadership programs and workstream meetings, including gathering inputs, managing review cycles, and ensuring timely delivery
Identify opportunities to streamline administrative workflows and improve ways of working
About You
Required Qualifications:
High School diploma required; Bachelor's degree preferred
2–4 years of experience in administrative support, operations, or event support (healthcare/pharma preferred)
Proficiency in MS Office (Excel, PowerPoint, Word) and collaboration tools (Teams, SharePoint, Smartsheet)
Strong organization and time-management skills with ability to prioritize multiple deadlines
Experience with purchase orders and expense management
Excellent written and verbal communication skills with attention to detail
Strong interpersonal skills and ability to work across diverse stakeholder groups
Familiarity with AI-enabled tools and digital platforms to support efficiency
Preferred Qualifications:
Experience supporting senior-level teams or executives in an administrative or coordination capacity
Familiarity with pharmaceutical commercial operations
Experience processing vendor contracts or NDAs
Exposure to data visualization tools (Power BI, Tableau) a plus

The salary range for this position is:
