Job description

Manage complex calendars, adjusting quickly to shifting priorities and last-minute requests.
Plan and coordinate internal events, including off-sites, team-building activities, and support with organization-wide meetings.
Prioritize and track multiple projects in a fast-paced environment, ensuring accuracy, timely follow-up, and attention to detail.
Oversee daily office operations including managing domestic and international shipments, initiating purchase orders, and partnering with the lead EA on space planning and seating needs.
Manage and track equipment for new hires, contractors, and employee refreshes.
Ensure a seamless onboarding experience by preparing required equipment, coordinating Day 1 readiness, and training new team members on processes and procedures.
Collaborate with the administrative team to standardize processes, share best practices, and improve operational efficiency.
Foster a positive and respectful work environment by demonstrating strong communication, diplomacy, and emotional intelligence in all interactions.
5–6 years of administrative and calendaring experience supporting senior leadership.
Excellent written and verbal communication skills, with comfort interacting with senior executives and cross-functional teams.
Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
Proven ability to work independently, exercise sound judgment, and maintain strict confidentiality.
Proactive, solution-oriented, and able to work independently while navigating ambiguity and shifting priorities.
Maintains composure under pressure while making timely, well-informed decisions.
Proficiency with Mac OS/iOS, Calendar, Mail, Slack, and Keynote, with the ability to quickly learn, adapt to, and effectively leverage new technologies as business needs evolve.
Project management experience.
Experience supporting engineering or technical teams.
Strong conflict-management skills and ability to escalate issues appropriately.
Do you love supporting others and being a trusted go-to resource? Do you thrive on variety—balancing deep expertise with new challenges each day? If you’re an innovative, proactive administrative professional eager to grow your skills, we’d love for you to join Special Projects’ collaborative and high-energy team!
